Job Description:
The Administrative / Executive Assistant will provide high-level administrative support to leadership and departmental teams. This role involves planning tours, handling office functions such as filing, scanning, scheduling, and supporting ancillary functions of the office. The assistant will also serve as an information and communication manager for the office.
Key Responsibilities:
Supervise general office duties such as ordering supplies, maintaining records systems, and performing basic bookkeeping.
Review and approve invoices, reports, memos, letters, and corporate documents.
Read and analyze incoming submissions and reports to determine significance and distribution.
Prepare agendas and make arrangements for committee, board, and other meetings.
Support scheduling and meeting needs with critical thinking.
Assist with customer-facing administrative work, including tours and hospitality-related tasks.
Qualifications (Required):
High school diploma or GED.
10+ years of administrative or customer service experience (internships count).
Experience working directly with executives.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong file management skills (OneDrive, SharePoint).
Proficient in calendar and scheduling tools.
Experience with point-of-sale systems.
Basic knowledge of AV set-ups for MS Teams.
Qualifications (Desired):

Highly organized, detail-oriented, and able to manage multiple priorities.
Strong verbal and written communication skills.
Customer service mindset, understanding service as part of the brand experience.
Initiative and problem-solving skills.
Strong interpersonal skills, able to interact with both internal teams and external customers daily.
Disqualifiers:
Candidates who have worked in higher-level office management positions (considered overqualified).
Work Environment & Schedule:
On-site, Monday–Friday 7:00 AM – 3:30 PM.
Office environment.
Rare Saturday morning work (once per year).
Reports directly to department leadership.
Daily interaction with internal departments, external partners, and customers.
