Position: Executive Assistant to CEO

Duration: Full-time & onsite
About the Job:
We are seeking an experienced and highly organized Executive Assistant to support the CEO and assist with the day-to-day operations of Client and its affiliates. The ideal candidate will be a proactive, detail-oriented, and efficient professional who can handle a variety of administrative duties, ensuring smooth business operations across all departments, with highly developed communication skills.
Key Responsibilities: - CEO Support: Provide high-level administrative support to the CEO, including IT issues, calendar management, scheduling meetings, and handling confidential information.
- Communication Management: Answer and screen phone calls, manage emails, prepare correspondence, and prioritize communications for the CEO.
- Office Vendor and Supplier Liaison: support as the point of contact for vendors, including office supply vendors, IT service providers, and maintenance contractors.
- Office Operations: Oversee general office operations, including filing, faxing, organizing shipment items, and managing office supplies to maintain an efficient and organized workspace.
- IT and Equipment Coordination: Liaise with IT companies and internal staff to ensure all office technology and equipment is functional and up to date. Troubleshoot basic IT issues as needed.
- Scheduling & Travel: Arrange business travel, coordinate accommodation, and manage detailed itineraries for the CEO and key team members.
- Meetings & Events: Organize and prepare for internal and external meetings, including meeting rooms, agendas, and follow-up action items.
- Office Maintenance: Ensure the office is well-maintained, clean, and organized, coordinating with cleaning services and facility maintenance, as necessary.
- Team Support: Assist various departments with administrative tasks as needed, contributing to a collaborative team environment.
Key Qualifications :
- Experience: Minimum of 3 years as an Executive Assistant, Office Manager, or Senior-level Administrative Assistant, preferably in a construction or related industry.
- Skills: Strong organizational skills, time management, and the ability to multitask effectively while completing tasks on time. Exceptional written and verbal communication skills.
- Technical Proficiency: Excellent computer skills, including proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and ability to learn new software programs quickly.
- Work Ethic: Ability to work independently with minimal supervision and handle multiple tasks efficiently in a fast-paced environment.
- Flexibility: Willingness to adjust hours as needed, including staying late or coming in early to meet deadlines or special requirements.
- Team Player: Must demonstrate a positive attitude, be adaptable, and go above and beyond to ensure the team's success.
