JOB SUMMARY

The Administrative Specialist is a detail-oriented and tech-savvy team player supporting both production and quality operations through the effective use of our ERP system (Epicor) and adherence to AS9100 standards. This role is key in tracking labor and part flow, maintaining compliance documentation, and assisting with internal audits and inspections. This position also provides critical backup coverage across departments during vacations or absences.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Track and validate labor transactions and job time reporting
  • Perform data entry into the Prince ERP system including but not limited to quote preparation, part maintenance and part production tracking.
  • Administer Process documentation
  • Support quality assurance initiatives and documentation accuracy
  • Works effectively with all department personnel and co-workers in a cooperative manner.
  • Assist with communication between departments and customers regarding work order and part delivery status
  • Ability to communicate effectively both in oral and written form and interact appropriately with all levels of the company and customers.
  • Provide vacation or absence backup coverage for key shop and admin roles
  • Additional responsibilities assigned by supervisor may include special projects to meet production needs.

Requirements

REQUIRED SKILLS/ATTRIBUTES

  • Familiarity with AS9100 or ISO 9001 quality standards
  • Strong attention to detail and documentation
  • Proficient in Microsoft Excel and other common office tools
  • Excellent communication and organizational skills
  • Performs job requirements using sound judgment and works well in a team environment.
  • Ability to read and interpret engineering drawings and manufacturing documents helpful
  • Understanding of production workflows and MRP principles preferred

EDUCATION AND EXPERIENCE

  • 2+ years’ experience in a manufacturing environment (CNC or precision machining preferred)
  • Hands-on experience with Epicor or similar ERP system required
  • Prior experience with internal auditing or inspection processes preferred
  • High School diploma or equivalent required, post-secondary education helpful

PHYSICAL JOB REQUIREMENTS

  • Required to sit for long durations of time.
  • Occasionally required to stand, walk, and reach with hands and arms.
  • Frequently required to perform repetitive hand movements when doing computer work.
  • Occasionally exposed to noise, fumes, airborne particles, and moving mechanical parts when in production areas.
  • Must be able to communicate clearly and accurately in noisy environments.
  • Must also have close, distance, and peripheral vision, with the ability to adjust focus and judge depth. Color vision is required as well.
  • Must be able to read, write, and speak English.

COMPENSATION: $26- 33 per hour
