Job Description

Executive Assistant- C Suite Executive

A global hedge fund is seeking a high-caliber Executive Assistant to provide right-arm support to a prestigious leader and C-Suite Executive.

Compensation: $150,000-200,000 base + discretionary bonus and excellent benefits package

Onsite 5 days in Midtown East, NYC

Hours : 8am-5:30pm in office with 24/7 flexibility and mentality

Experience required:

-Must have a 1:1 EA/PA experience to a C suite/Senior level executive – 5+ years of EA experience required

-BS/BA degree required

-Ideally experience booking heavy global and private travel

-Buyside finance experience is ideal, but open to financial services ideally at larger, complex global firms

-Longevity on resume is required

-Effective written and oral communication skills with strong attention to detail

-Excellent organizational skills and an ability to juggle multiple responsibilities/tasks/priorities with minimal error

-Ability to anticipate and independently avoid or solve problems

-Agility; capable of adapting to unexpected changes and rapidly evolving situations

-Willingness to stay connected

-Proficiency with Microsoft Outlook and Word

-Familiarity with Microsoft Excel and PowerPoint

Responsibilities include:

-Schedule and Calendar Management:

  • Proactively manage and coordinate daily schedules, calendars, and contacts.
  • Arrange and schedule numerous meetings (internal and external), conferences, and seminars.
  • Maintain and update calendars, prioritizing meeting requests and demonstrating flexibility.
  • Serve as the first line of defense for high volume communications of phone and email.

-Expense Management

-Partner with executive’s Personal Assistant on any PA tasks as requested.

-Travel and Event Coordination:

  • Coordinate extensive international and domestic travel, including drafting detailed itineraries.
  • Private travel coordination
  • Prepare presentations, agendas, and materials; document notes; and coordinate follow-up items to completion.
