Position Responsibilities
Position Summary - Under general direction, the incumbent of this position is responsible for ensuring the security and confidentiality of all mail, packages and freight for the University of Idaho while performing the following services: sorts, delivers, classifies, rates and posts outgoing mail sent through various shipping and mailing services.
- Assists in operating mailing machines to affix postage using a computerized system. Processes outgoing UPS and USPS parcels using shipping software.
- Sorts incoming mail, packages and freight received from US Post Office, UPS, FedEx, Office Depot and various other freight companies and intra-campus mail. Performs pick-up and delivery service on an assigned route. Maintains records and prepares reports.
- Assists in Bulk Mail preparation by processing address lists, address printing, tabbing and all duties associated with Bulk Mail.
- Performs receptionist duties and other miscellaneous duties as required and directed.
Responsibilities
Job Duty Function Provides delivery service and meet University of Idaho safety initiative by:
Job Duties/Responsibilities - Bundling and delivering mail and packages to 264 departments on two delivery routes; driving a motor vehicle to specific areas and then delivering the mail by foot to individual mail rooms or mail cabinets at the designated departments.
- Using mobile computer to scan and track each item with a tracking number; picking up intra-campus mail, outgoing mail and packages being shipped through various mail and shipping services.
- Keeping outgoing items separate from delivery mail throughout the route as well as ensure that Hazardous Material shipments are properly transported while delivering on campus.
- Taking classes to keep current in knowledge of computers, mailing systems, postal regulations and driving skills.
- Ensuring compliance with all safety policies, procedures, and work practices established by the University.
- Avoiding any activity that creates or constitutes a serious hazard to themselves or others while working for the university. Immediately bringing any concern to his/her supervisor, or others designated by departmental/divisional procedures, if any employee believes that performing an assigned work task or activity may pose a serious risk to life or health.

Job Duty Function Receiving Mail, Parcels and Freight by:
Job Duties/Responsibilities - Processing incoming USPS Mail and parcels, UPS, FedEx Ground, Office Depot. Record the incoming USPS mail and inter-campus mail volume. Signing for and distributing accountable mail and insuring the security and confidentiality of all mail.
- Using a mobile computer and CMS tracking system software to determine its location in transit.
- Ensuring that Hazardous Material shipments are stored properly when receiving, transporting and delivering on campus.
- Processing freight: determining that shipment belongs to the University, inspecting for damage, and signing the BOL. Coordinating deliveries with local delivery company for shipments over CMS weight and size limit.

Job Duty Function Processes out-going mail and packages by:
Job Duties/Responsibilities - Rating, classifying and affixing postage to outgoing mail and flats.
- Processing outgoing packages through the CMS shipping software via UPS or USPS as indicated by the customer.
- Handling customer requests either by phone, e-mail or in person in a courteous and knowledgeable manner by keeping up with current USPS, UPS and other carriers' rules and regulations.

Job Duty Function Provides sorting services by:
Job Duties/Responsibilities - Identifying incoming mail, packages and freight by campus mail stop code or other method such as location or departmental name.
- Sorting mail, packages and freight into 264 separate departmental bins while meeting the minimum sorting standard based on tubs, letter trays or packages sorted per hour while keeping sorting bins organized as departments move or routes change.
- Properly handling forwarded mail, incorrectly addressed mail, missorted mail and accountable mail.
- Using mobile computers to scan and track while on delivery route to determine its location in transit and insuring the security and confidentiality of all mail.
- Ensuring that Hazardous Material shipments are stored properly when receiving and sorting.

Job Duty Function Assisting with the processing of presorted (bulk) mailings by:
Job Duties/Responsibilities - Providing information to campus staff regarding presorted (bulk) mailings, rates, addressing and labeling requirements, bar-coding and mail types.
- Using tabbing machines, computerized folder/inserter machines and computerized address printer with bulk mail software.
- Processing address lists for automation with specialized presorting software.
- Keeping current on USPS Bulk Mail rules and regulations to handling customer requests either by phone, e-mail or in person in a courteous and knowledgeable manner.

Position Qualifications
Required Qualifications Previous work experience that demonstrates ability to:
- Interpret and apply mail and shipping regulations and rate structures.
- Understand and follow written and oral instructions, learn and remember names and locations of units across campus.
- Work independently as well as cooperatively with others under heavy work pressure.
Applicants must possess:
- High school diploma or GED.
- Must possess a valid motor vehicle operator's license and be able to meet policy requirements for driving University vehicles.
Preferred Qualifications - Demonstrated experience in providing quality customer service, ensuring customer satisfaction and striving for continuous service improvements.
- Performing work in a reliable and dependable manner as shown through work history, school or references.
- Experience working with hazardous materials.
- Knowledge and experience processing bulk presorted mailings.
Physical Requirements & Working Conditions - Ability to stand and walk up to four hours per shift.
- Ability to lift, carry and/or otherwise move up to 70 pounds.
- Work in all weather conditions as well as drive a vehicle in all weather conditions.
- Work in a dusty/noisy environment.
