Job Description

Spencer Hsu Real Estate is a top-producing, luxury-focused team closing $85M annually in the Bay Area. We are seeking a high-caliber Operations Manager to be the right hand to our Founder, driving operational excellence, scaling systems, and ensuring every client receives a true white-glove experience. This is a pivotal role for someone who thrives in a fast-paced, high-performance environment and is ready to help take our business to the next level.

Key Responsibilities

  • Systems Ownership: Refine and manage backend platforms including Sierra (CRM), Sisu, Notion, Google Workspace , lead routing, and transaction management.
  • Agent Accountability: Track KPIs, pipelines, and performance through Sisu; oversee 30/60/90 onboarding and enforce accountability standards.
  • Hiring & Onboarding: Manage recruiting, hiring, onboarding, and offboarding processes; implement structured training systems for agents and staff.
  • AI Integration: Champion the adoption of AI tools across all operations, marketing, and client care processes.
  • Marketing & Launch Coordination: Collaborate with Marketing Manager to align listing launches, YouTube content drops, and event campaigns.
  • Client Experience: Oversee client care checklists and internal SLAs to ensure every client receives five-star service with a focus on referrals and repeat business.
  • Process Optimization: Continuously streamline workflows, SOPs, and team efficiencies to support a $100M+ sales organization.

Requirements

  • 5+ years in real estate operations (experience with teams producing $50M+ strongly preferred).
  • Strong project management skills with a systems-first mindset.
  • Tech-savvy and fluent in CRM systems, Notion, Google Suite, AI tools.
  • Deep knowledge of the Bay Area real estate market preferred.
  • Proven track record of leading and scaling operations in a high-volume environment.

  • Real estate license (helpful for TC oversight or backup).
  • Background in finance, operations, or scaling teams.
  • Demonstrated ability to leverage AI personally and professionally —be ready to share specific examples.
